What Xero is, honestly

Xero is the cleanest cloud accounting product on the market and has built a serious South African base, though its VAT201 workflow still needs a manual step at submission.

Xero is what happens when a company decides accounting software should be pleasant. The bank reconciliation screen alone converts people, because it turns the single most tedious job in bookkeeping into something that takes minutes. Small business owners who have never enjoyed looking at their books tend to actually open Xero, and that has real value that does not show up on a feature matrix.

The South African position has strengthened considerably. Pricing is quoted in rand, the major bank feeds work, and there is now a substantial community of Xero certified advisors in Johannesburg, Cape Town and Durban. Ten years ago recommending Xero here meant recommending a support problem. That is no longer true.

The VAT question

This is where honesty matters. Xero handles South African VAT correctly at 15% and will produce a VAT201 report with the right figures in the right boxes. What it does not do is push that return into SARS eFiling. Someone types the figures across. For most businesses that is fifteen minutes every two months and entirely tolerable. For a practice filing forty returns it is a real cost, and it is the single most common reason accountants here still steer clients to Sage.

Where it beats everything else

The app ecosystem is the strongest in the category by a wide margin. Over a thousand connected applications means that whatever your business does, something already talks to Xero. Multi currency is genuinely good, with automatic rate updates and correct unrealised gain and loss treatment, which matters if you export.

Reporting is also a level above the local incumbents. Report layouts can be built once and reused across clients, comparative periods are easy, and the output looks like something you would put in front of a bank.

Where it costs you

Price. The entry plan is genuinely limited, capping invoices and bills at a level most real businesses pass in the first month, so the practical starting point is the middle tier. Payroll is not included in the South African product, so budget for SimplePay or PaySpace alongside it.

Support is online only. There is no telephone number, and for a business owner at 16:00 on the day a VAT return is due, that is a genuine frustration. The help content is excellent and the community forums are active, but they are not a person on a phone.

Who should buy it

Growing businesses that value the day to day experience, anyone with a multi currency element, and teams that want to build a stack of connected apps rather than one monolith. If your accountant is Xero certified, this is an easy recommendation.

Solid, boring, and that is exactly what I wanted

After two years I can say the reconciliation time saving is real and it is significant. Unlimited users on every plan, which no local competitor matches. That is the part that genuinely changed how we work. Nothing has come up in the last year that I would call a real problem. Worth the migration effort, which is not something I say often.

What works

Genuinely strong multi currency handling. Bank feeds match transactions accurately and the rules learn quickly. Our accountant has their own login at no extra cost.

What does not

Inventory is too basic for a stock heavy business.

Does the compliance work without being asked

I run the books for three related companies and this is the first system that has kept up. The best bank reconciliation experience in the category. That is the part that genuinely changed how we work. There are irritations, and none of them are the kind that make you look elsewhere. Two years in and nobody has suggested we look at alternatives.

What works

Unlimited users on every plan, which no local competitor matches. Multi currency handling is genuinely correct on unrealised gains. Month end close has dropped from six days to two.

What does not

The interface has not aged well.

Cheaper than the alternatives, and you find out why

I have spent more time working around this than working in it. The thing worth knowing is that the parts we were sold on never worked the way they were demonstrated. The gaps are the kind that create work rather than save it. I would look elsewhere unless price is the only consideration.

What works

It is inexpensive.

What does not

Bank feed failures went unresolved for weeks. Migration lost historical detail we needed for the audit. The VAT handling required constant manual correction.
